Can I make tour requests or join waitlists on a family's behalf?

You can take enrollment action on behalf of families, helping them find care faster and filling providers' seats quickly!

As a Family Navigator, you play an important role helping families search for and enroll in care. Using LegUp's Navigator Access, you can act on behalf of families and do three main tasks:

  1. Join waitlists on behalf of families.

    You can add families to multiple waitlists of any program they're interested in, add family information to the waitlist, and create an account for them to continue taking future enrollment action.

  2. Schedule tours for families to learn more about programs.

    You can schedule tours for families to see the programs that they're interested in, based on the availability that the program set up in advance.

    When scheduling a tour, it will state if the tour is virtual or in person, based on the settings the provider created for their tours and that time slot. For all virtual tours, families will receive the Zoom link via email to join the call. After you sign them up for a tour during a time that works in their schedules, no further action is needed from the family.

  3. Apply for Care

    You can search for available openings and apply for seats on behalf of a family. You can filter your search by the child's age, preferred enrollment date, and programs who accept a particular subsidy. Once you apply for a seat on behalf of a family, the family will receive notification via email or text (if they're signed up to receive those -- which you can do on their behalf). The family will be required to take action on their own if they are offered the seat.

    Please note:

    1. Many providers require tours before a family can apply for a seat or join a waitlist, so they'll state that requirement before families can see their availability.

    2. If you help a family apply for a seat from the enrollment page, it does not guarantee they will receive that seat.

Once you have taken enrollment action on behalf of a family, the responsibility is then on the family moving forward and you will not be able to access any information pertaining to their account. Families will need to create an account and/or log into LegUp to then follow up on the actions you've taken on their behalf. Families will receive emails and/or text messages (if they've signed up to receive texts) from the provider regarding these enrollment activities, so make sure it's clear to families that you are unable to continue taking action on their behalf after your initial assistance.
