Importing Your Existing Waitlist

Kinside is the only platform with a tool designed to build brand new waitlists AND function with your existing waitlist!

Kinside helps you spend less time on the phone while auto-organizing your waitlist, sending monthly waitlist reminders to families, and allowing them to check their status and remove themselves, so your waitlist stays clean and full of families ready to fill your openings.

We know you already had a waitlist before, so we'll help you import it. Read below to learn what we need from you, what your Enrollment Support Team does behind the scenes, and what to expect as we incorporate your existing waitlist into your new Waitlist Manager.


 

Share Your Existing Waitlist With Us

We'll need a list of all existing families and their emails to import your waitlist. The easiest way for us to receive this is in a spreadsheet (Google Sheet, Excel, CSV, etc).

Here is the information we need to import your waitlist:

  • Mandatory:

    • First name of the parent/guardian

    • Last name of the parent/guardian

    • Parent/Guardian Email Address

    • The date the family joined your waitlist (or the order of families)

  • Optional, but helpful!

    • Child's name

    • Child's date of birth

    • Phone number

    • Answers to any questions that you ask that set the priority of the family.

If your waitlist is organized in a binder, your emails, or something else, no worries. We can work with this! Just scan the pages and them as an attachment in one email and our team can help you.


We'll Import Your Information For You

Once we get your information, your Enrollment Support Team will start cleaning and importing your waitlist. Here's what we'll do:

  • We will format your file and clean the data for importing

  • We will keep you up-to-date on where we are in the process and send over any questions we have

  • We will submit our final draft to you for your approval before the final import so you can see exactly what is going into your Waitlist Manager

Once we get the go-ahead from you, we'll import this waitlist.


Information Families Will Receive

Once we import your waitlist, families will receive an email from us and be able to log in to https://family.legup.care to update their information. Here's the email message your waitlist families will receive:

"Hi [Name],

You signed up to join [YOUR PROGRAM'S NAME]'s waitlist in the past for [THEIR CHILD'S NAME]. [YOUR PROGRAM'S NAME] is now using Kinside to manage their waitlist. With the Kinside platform, you can see your waitlist status and edit your family information at any time. You will also receive seat offer through this system.

Would you like to stay on this waitlist?

Please let us know by clicking on one of these links:

- YES, keep me on the waitlist.
- NO, remove me from this waitlist and future emails.

Please respond by [DATE] in order to stay on the waitlist.

Thank you,
The Kinside Team"

Families will be given 30 days to respond and let us know if they'd like to stay on the waitlist. If they do not respond, they will be marked as "Inactive". If they don't respond within 90 days, they'll be removed from your waitlist and saved in the "Families" section of your platform. You can reactivate the family at any time.

 


 

Alert Your Waitlist Families

Since you already have a relationship with these families, we'll ask you to send an email to them once we import so families keep an eye out for our emails. Don't worry, we'll send you the full list of all the emails so it's easy to send out. Here's an example of messaging to share with families!

Hi {Name},

I am happy to share that {program name} is now using Kinside to manage our waitlist! This system will enable you to track your waitlist status, remove yourself, and keep your information up-to-date so we can send you the right seat offer once we have an opening.

In order to stay on our waitlist, please open the email from Kinside (support@kinside.com) inviting you to create your free family account. Please note, this email may be in your spam or promotion folders.
