How to remove a seat when it's already been offered to a family?

Easily remove a seat by following the instructions below.

Sometimes you may need to reduce the number of seats available in your program due to staffing issues or something else. You can easily remove a seat using these instructions, but if a family has already been offered a seat, you'll need to follow the steps below (this will take less than 1 minute!).

Step 1: Remove a Family From the Seat

First, we need to remove the family from the seat. In the example below, a seat was offered to the family of Nona Stout. We want to remove that seat offer, and put the family back on the waitlist. Here's how to do this:

  1. Click on the "Seats" tab in the left menu.

  2. Find the seat you want to remove.

  3. Click the text at the bottom of the seat in yellow that says "Offered to [Child Name]".

  4. In the popup, there will be clickable text that tells you what day the seat was offered to the family. Click on that text to change the status.

  5. In the dropdown, choose "Move Family Back to Waitlist".

  6. From there you can update the family's enrollment preferences, or you place them on hold so the family is prompted to update their own enrollment preferences.

  7. Click "Submit".

    The family is now removed from the seat offer. This is when you'll want to send the family an email to give them more information to reduce confusion. Here's an example email to send to the family:

    Subject: Seat Offer Miscommunication

    Hi [Parent Name],

    It looks like you received a seat offer from us for the [classroom name/age range] classroom, with a start date on [start date]. Unfortunately, we've had some staffing issues and we can no longer open a seat in the classroom to comply with licensing requirements and our classroom safety standards.

    We're very sorry about having to remove the seat offer. Please be assured that you are still on the waitlist. To make sure your waitlist information is correct, please log in to https://family.legup.care/ to update your family details and enrollment preferences.

    We hope to welcome [child name] into our program soon! Thank you,
    [Your Name]

Step 2: Remove the Seat

Note - You may need to refresh the screen so the seat no longer shows as offered to the family!

  1. Find the seat you want to remove.

  2. Click the three dots in the top right corner of the seat card, then click "Remove seat".

  3. Select the reason why you're removing the seat, and confirm the seat removal.
