This article walks you through how to make waitlist status changes such as how to mark a child as active, how to remove a child, etc.
LegUp does a lot on the backend to be sure your waitlist is up-to-date and keep each child's status current so you can take care of all the other things on your plate. Occasionally, situations may occur where a family requires a manual waitlist status change. These situations, like becoming inactive, requesting to be removed from your waitlist, etc., are easy to resolve in just a few clicks. Let's take a look at how to change a child's status and a few situations that might apply to each option.
Changing A Child's Waitlist Status - From The Waitlist Tool

Navigate to the Waitlist tool in your Enrollment Concierge.

Locate the child you would like to change the status for.

Click on the child's name to open the Waitlist Details pop-up.

From the Waitlist Details pop-up, locate and click the status box. If the child has been offered a seat this will be accessible by clicking the green text that says "The child was offered a seat..."

Choose the new status option you want to apply to the child.

Confirm your selection in the pop-up.

Click the yellow "Submit" button to complete the process.
Changing A Child's Waitlist Status - From The Seats Tool

NOTE: This option is only available if there is a seat on hold for the child whose status you'd like to change.

Navigate to the Seats tool in your Enrollment Concierge.

Locate the seat on hold for the child you would like to change the status for.

Click on the child's name to open the Waitlist Details pop-up.

From the Waitlist Details pop-up, locate and click the green text that says "The child was offered a seat..." to display the status drop down.

Choose the new status option you want to apply to the child.

Confirm your selection in the pop-up.

What status option should I use?
There are several different status options you might apply to a child. While the following list is not exhaustive, it will help you understand each option and when you might apply it.
Option 1: Move Family Back To Waitlist
This is a great option if the family is still interested in your program, but they decided now is not the best time to enroll.
This option can also be used for families who have scheduled tours but are not currently on your waitlist. In this scenario, we'll send the family a link to join your waitlist and, if required, pay your waitlist fee.
Option 2: No Response From Parent/Guardian
This is a great option if a family has scheduled a tour or you've offered a seat to a family and they haven't taken the necessary next steps toward enrollment. This option will mark the child as inactive and email the family asking them to update their enrollment preferences.
If that family does not update their enrollment preferences within 30 days of becoming inactive they will be hidden from your waitlist unless your account settings determine otherwise.
Option 3: Active On Waitlist
This option will reactive a child on your waitlist who has been marked as inactive. It's typically used once the family has reached out and reconnected with your program to update their enrollment preferences.
Option 4: Remove Family From Waitlist
This option will remove the child from your waitlist altogether and they will lose their place in line. If this action is taken and the family wishes to rejoin in the future, they'll have to complete the form again, repay your waitlist fee (if applicable), and take a lower place in your waitlist queue than they had before.
When you remove a child from the waitlist, you have the option to alert the family you will be returning their waitlist fee, but that is not mandatory. If you elect to do so, you will want to process that refund internally. It cannot be done through LegUp.
